Summary

We are seeking a Personal Assistant to join Historic England in our Yorkshire and North East team. The role can be a hybrid role - split between the office in York and home. We also have an office in Newcastle which may need to be attended on an intermittent basis.

As Personal Assistant to the Regional Director, you will provide support to the Regional Director (and Head of Region as required) in ensuring that their office is organised and operating effectively. You will work closely with other administrative colleagues to provide wider administrative support to the Regional office.

What you will be doing;

- Diary management and planning to ensure that meetings, tours and visits are
scheduled and organised effectively and efficiently.
- Coordinating all business travel and accommodation arrangements as required,
whether in the UK or abroad.
- Processing Visa and cash expenses using the Promaster online system and keeping a record of hospitality given and received.
- Managing emails, correspondence and calls, including identifying and
communicating urgent actions, directing correspondence to the appropriate
person or place and tracking actions arising from correspondence.

- Supporting the delivery of corporate activities such as training or capacity-building work.
- Undertaking any other reasonable duties requested by line management which
contribute to the efficient running of the office, including assistance with office
facilities tasks when required, and commensurate with the grade and competencies of the post.

Meeting Support:

- Preparing the Director (or Head of Region as required) for internal and
external meetings, commissioning or providing briefings as necessary and
ensuring the right staff attend.
- Organising Leadership Team and other meetings, including drafting agendas,
organising attendees, equipment, refreshments, minute-taking and supporting the Director with progress against actions from the meeting.
- Providing full administrative support for office or site visits by members of
Commission and HE Committees or external visitors.
- Collating and circulating regular internal reports.
- Close liaison with other EA and PAs in the organisation.

What we are looking for;

-Extensive secretarial, administrative and office organisation experience in a busy office and at a senior level
-Experience of dealing with confidential information with discretion, tact and sensitivity
-Working to a high standard of accuracy and attention to detail
-Excellent organisation and planning skills, with ability to intelligently assess and anticipate needs
-High level of interpersonal skills and ability to build relationships with key partners
-Excellent IT skills, including MS applications.
