We are looking for an experienced Administrative Assistant to join our central IT department at our head office in East Croydon. We are interested to hear from experienced administrators who can provide the IT departments senior leadership team with comprehensive and professional admin support to help ensure efficient day to day running of the team.

The role will also assist with administrative activities critical to the operation of specialist IT teams and make a positive and proactive contribution to the department. Some travel to academies may be required as part of this post.

Main Areas of Responsibility

  • Manage the IT Team’s electronic diary, assessing priority of appointments and reallocation as necessary.
  • Process correspondence, ensuring that incoming correspondence is dealt with by the Director, on behalf of the Director, or other staff as appropriate.
  • Screen calls, enquiries and requests, and deal with them when appropriate.
  • Assist in researching and following up with action on matters which fall within the Director’s responsibility – chasing responses, triggering follow-up action.
  • Manage arrangements for meetings and ensure the Director is well prepared for those meetings, preparing agendas, pre-meeting briefings, presentations and meeting papers, and take minutes as necessary.
  • Set appointments and meetings as requested, including regular one-to-one meetings with key reports.
  • Liaise effectively with internal divisions/departments and external organisations.
  • Advise the IT Senior Leadership Team of impending work deadlines for both internal and external commitments, e.g. reports, presentations, conferences, projects.
  • Ensure appropriate systems and processes are developed and maintained to support effective and efficient day-to-day running.
  • Ensure smooth flow of information around the directorate, including action monitoring to achieve deadlines and project milestones.
  • Effectively plan and coordinate corporate training events, evaluation workshops and conferences.
  • Provide a confidential and efficient filing system for the Director and his/her offices, including HR files in line with corporate procedures and the Data Protection Act, ensuring compliance with HR policies.
  • Maintain up-to-date knowledge of HR processes and procedures, and advise and assist the Director with HR issues and the recruitment process, including the coordination of the appointment of colleagues.
  • Assisting with raising Purchase Orders and obtaining quotes in accordance to the Federation’s purchasing policy.
  • Ensure that all hardware, software and services purchased meet the specifications laid down by the Federation / Academy and are in accordance with budget.
  • Liaise with vendors, partners and service providers as appropriate.

  • Have a proven track record of balancing priorities and working to strict timescales.
  • Be flexible, adaptable and capable of handling the various pressures and demands associated with this customer focussed IT department.
  • Have the ability to react quickly and effectively to issues and opportunities.
  • Be trustworthy, diligent, discreet and confidential at all times.
