Academy: Brighton Aldridge Community Academy (BACA)
JobTitle: Receptionist
Reporting to: Executive Assistant to the Principal
Contract Basis 37 hours, term time and inset days plus 2 weeks
Salary: SP5 - 6 £19,560 - £20,043 (pro-rata £17,527 - £17,960) plus additional responsibility allowance
Working hours: 7:00am to 3:00pm Monday to Thursday and 7:00am to 2:30pm on Friday
Overall purpose of the role:
The post-holder will provide high level customer service both face to face and on the phone/email. The post-holder will have responsibility for specific tasks and projects such as liaising with agencies to organise cover.
Key Duties:
- To manage the cover system and ensure cover is set up each morning.
- To oversee the ‘front of house’ area and ensure all visitors receive a warm welcome.
- To always project a professional image of the College.
- Answer and direct all incoming phone calls.
- Process and distribute incoming post and frank outgoing post.
- Maintain the general email account responding to queries/directing enquiries as required.
- Issue ID passes for students, staff and visitors.
- Assist in the upkeep of student and staff records, ensuring all safeguarding checks are completed for agency staff
- Organise and store paperwork, documents and computer-based information.
- Order stationary and first aid equipment.
- Use a range of software including email, spreadsheets, SIMS and other databases.
- Assist with the management of student lockers and keys.
- Assist with organising meeting rooms and ordering refreshments when required.
- Typing, emailing, filing, photocopying, data entry and other administrative tasks.
- Other Responsibilities:Operating at all times within the stated policies and practices of BACA and the wider Trust.

Safeguarding of Children Young people and Vulnerable Adults
To be aware of and work in accordance with the BACA safeguarding child protection policies and procedures in order to safeguard and promote the welfare of children and vulnerable adults and to raise any concerns relating to such procedures which may be noted during the course of duty.
The post holder will be required to have a valid Enhanced Disclosure and Barring Service (DBS) certificate and be re-checked every 3 years as per BACA requirements.
Requirements
Essential
- GCSE English and Maths Grade C
- Minimum of one year administration experience
- Excellent working knowledge including MS Office (Word, Excel, Outlook)
- Excellent interpersonal, oral and written communication skills
- Ability to work independently and as part of a small office team
- Good organisation skills, ability to multi-task, prioritise effectively and work to tight deadlines
Desirable
- NVQ Level 3 or 4 in an administration related subject
- Experience of providing administration support in an educational setting
- Experience and knowledge of using Bromcom and Parent Pay
