Office Manager, Personal Assistant, Executive Assistant, London, Higher Education, Interim Contract, 3 months

Your new company

You will be working for a well established Russell Group university based in London - with well connected travel You will be working for a newly established research institute in the heart of the City.

Your new role

To undertake the role of Office Manager and Executive Assistant, the post holder will ensure that the Institute functions in an efficient and effective manner in a period of rapid growth, that Director and other key staff receive the required level of support and that the external perception of the Institute is of the highest standards. The role involves providing high-level administrative support for the Institute, including the Director, and providing a warm welcome to visitors and partners. The post holder will be expected to develop positive working relationships with a broad range of individuals and work effectively across teams and will need therefore need strong interpersonal and communication skills. The role is 2/3 days a week onsite as a hybrid model

What you'll need to succeed

  • Experience of overseeing the administrative functions of an Office
  • Experience of managing budgets and resource planning
  • Experience of working as an Executive Assistant at a senior level
  • Experience of coordination and planning of activities, including project work
  • Experience with, and a creative approach to, problem solving and responding flexibly to planning and change
  • Experience of managing complex diaries for senior colleagues
  • Experience of working in a university environment
  • Excellent understanding of how to develop and sustain a well-functioning Office environment, covering issues such as IT and space requirements
  • Ability to develop and implement clear policies and practices to ensure the effective operation of the research Institute in line with the University's policies
  • Excellent written and oral communication skills
  • High-level interpersonal skills and ability to build and lead a successful team
  • Knowledge of financial systems and processes
  • High level of numeracy and ability to analyse and present relevant financial and other data, and strategic and procedural information
  • Excellent IT skills
  • Good understanding of the Higher Education Sector
  • Ability to foster effective working relationships with colleagues and contacts at all levels both internal and external to the University
  • High standards of accuracy, consistency and attention to detail
  • Able to work independently, managing workload with minimal supervision, resolving the majority of issues and exercising judgement in deciding when to refer issues/problems upwards
  • Ability to work independently and as part of a team, readily supporting colleagues
  • Prepared to be flexible in hours worked
  • Able to carry out duties at other sites as necessary
